MarcEdit GC workflow

Sample MarcEdit workflow for the Graduate Center
 
1. Download file (.mrc or .dat) from vendor website
 
2.  Break file using MarcBreaker (save to .mrk)
 
3. Open the file in MarcEditor and begin editing:
 
LDR     Open the fixed fields and check that coding is for a book or serial, not a computer file.
 
049     Add local holdings code: ZGME
 
099     Add call number if using, i.e. $aPsycBooks$a(Online)
 
245     Check for GMD in $h
            Make sure that it is properly placed following $a
 
533     Check for reproduction note if work was previously published in print form
 

856     Check indicators

           Check URL
           Edit public note in $z to fit Grad Center patterns: An electronic book accessible through the World Wide Web; click for information
 
946      Add NBL
 
Run a field count report (Reports > Field count) to check for field duplication, unwanted or non-standard fields, and other problems

Scroll through the file and do a visual check of the records to find potential problems which can be fixed in batch, such as:

  • Records include 533 for microfilm as well as electronic reproduction

  • Records include a 506 note alerting users to restricted access

  • Records include $x topical subdivisions in the 650 field which should be updated to $v form subdivisions
 
Validate the file to find any remaining coding erros (Reports > MARCValidator)
 
4.  When editing is complete, save file in .mrk format
 
5.  Recompile the saved file to .mrc format
  • Either do this within the MarcEditor (File > Compile to MARC) or by using the MarcMaker on the start screen
  • Rename the file and/or save it to a separate directory to avoid confusion with the original vendor .mrc file
