ADDING DEATH DATES TO PERSONAL NAME HEADINGS
Authority records:
Add the death date to the authorized heading (100 field), see references (400 fields), and see also references (500 fields)
In some cases, 400 and/or 500 fields will have dates which the 100 field lacks, or vice versa. In case of doubt, contact Michael Borries by phone or email.
Close dates on associated authority records (author plus uniform title, related name authority records for separate bibliographic identities, etc.)
There should be no period (full stop) after a date at the end of a field:
$$aBorges, Jorge Luis,$$d1899-1986
If the name is followed by a uniform title, add a period after the date of death:
$$aBorges, Jorge Luis,$$d1899-1986.$$tPoems.$$kSelections
[NOTE: no period at the end of the field]
If the first indicator is “2”, change it to “1.” Second indicators should be deleted.
Change UPD field to Y, or delete.
Update (ctrl + L). COR field will be added automatically. DO NOT delete the COR field.
Bibliographic records:
The system will use the COR and UPD fields in the authority record to update the bibliographic records. The bibliographic records should be checked the next day to verify that all headings have been changed.
When checking the author index, if records appear as not changed, check 7XX and 8XX added entries to see if these have been changed. It is a known problem that 800 fields are not corrected automatically.
Look for headings not changed, such as:
Author’s name without dates:
Freidson, Eliot, 1923- was changed to Freidson, Eliot, 1923-2005.
Freidson, Eliot, [no date] was not updated (65 entries)
Headings with middle names instead of middle initials, or middle initials instead of middle names
Howells, W. W. (William White), 1908- was changed to Howells, W. W. (William White), 1908-2005
Two records with the heading Howells, William, (only one of which was this author) were not changed.
One record with the heading Howells, William White [no date] was not changed.
For compound names, search also under both parts individually.
Fernandez Garcia, Maria [made up example]. Search also under:
Fernandez, Maria
Garcia, Maria
Garcia, Maria Fernandez
Do a search of the author in the subject index, and change these headings as necessary.
If the authority record has been changed substantially in OCLC, set up the CUNY+ record as above and after the automatic changes are finished, replace the authority record in OCLC
